Providers of operational reports, staffing, inventory or service records from 2021 should designate someone familiar with the data sources to check them. The review concerns consistency of subjects, units and reporting periods across files; it does not require creating reports that never existed. Where only aggregate figures remain without calculations, first identify what can be verified and the limitations of available records.
Explain fields and statistical boundaries
Provide brief definitions for key indicators, specifying the population, start and end dates, units, calculations and exclusions. Do not conflate orders, deliveries and customers. Treatment of cancellations, returns and duplicate entries should match original business records. List unconfirmed fields separately rather than assuming their meaning.
Check versions and discrepancies
Where several spreadsheets or exports concern the same matter, identify creation dates, custodians and the version actually used at the time. Investigate scope, update timing and revision history before comparing conflicting figures; do not default to the most favorable value. Later explanations need supporting grounds and must not overwrite original records or destroy traceability.
Submit corrections and an archive index
Required corrections should list old and new values, reasons and supporting evidence. After receipt, the Association Office will coordinate missing information; unresolved discrepancies must remain documented. The archive index should connect source files, calculations and public summaries, with separate access permissions. Public versions must exclude unauthorized personal or transaction information.
