Process owners should work with actual users to compile management records from 2021 concerning digital tools, revised forms or online approvals. Select a clearly bounded workflow and explain the previous approach, the tasks handled by the tool and the judgments still required of staff. Launch dates, user numbers or account totals alone do not establish process improvement.
Establish the workflow and scope of use
List start and end points, inputs, outputs and responsible roles, providing the forms, instructions or configuration records used at the time. Distinguish pilot use from formal deployment. Where current functions differ from those available in 2021, identify version differences rather than substituting present capabilities for historical implementation evidence.
Check changes and additional burdens
Describe before-and-after changes in specific issues such as duplicate entry, approval waits, information retrieval or handover checks. Efficiency data require observation periods, task types and calculation methods, together with errors, returns and additional manual checks. Explain concurrent changes in workload or staffing separately instead of attributing every effect to the tool.
Complete corrections and file management
Before submission, the process owner should check that the narrative matches attachments and that screenshots have been cleared of credentials and personal information. The Association Office will request missing items. Revisions must identify dates, responsible persons and changes. Archive source files, exported records and the present analysis separately; external use requires separate permission checks.
