Notice on Compiling Supply, Demand and Delivery Change Records from 2020

Guidance on connecting historical demand changes, supply confirmations and delivery adjustments for reviews of business coordination.

Sales, procurement or operations teams should designate one contact to compile records from 2020 concerning changing customer needs, purchasing conditions and delivery coordination. Select an order, project or service that clearly illustrates the issue, explaining the original agreement, source of change and affected scope. The review concerns the management process; current market conditions must not be used to infer the circumstances of decisions made at the time.

Connect demand and change records

Provide demand confirmations, supplier feedback, internal coordination and records of the other party's acceptance of changes, showing the sequence in which information arose. Label forecasts, inquiries and formal orders separately. Internally discussed proposals must not be presented as changes already accepted by customers or suppliers. Sensitive information such as prices may be treated according to the intended use.

Explain choices and delivery outcomes

For changes to quantity, specifications, batches or deadlines, state the reasoning, confirming roles and quality checks. Preserve key trade-off decisions where several options existed. Attach exception records when actual delivery differed from the revised agreement. Identify unresolved disputes separately; do not remove unfavorable evidence to make the process appear complete.

Confirm permissions and retain versions

Before submission, check consistency of dates, project names and responsible parties across files. If the Association Office identifies omissions, the contact should coordinate additions and date newly written explanations. Rights holders must confirm archival and citation permissions for contracts and transaction records. Public cases may use only authorized material, retaining sources and revision history.
