Notice on Checking Service Feedback and Improvement Follow-up Records from 2022

Connect customer feedback, cause checks, corrective actions and subsequent observations to substantiate service management cases from 2022.

Service owners should work with relevant staff to compile improvement records from 2022 concerning customer service, internal support or delivery feedback. Select a matter with a clear problem and handling process, identifying the service recipient, original agreement and feedback channel. Customer assessments, internal closure records and actual resolution are distinct; completed replies or satisfaction scores do not replace evidence of improvement.

Establish the feedback and verification process

Retain feedback dates, services involved, main issues and necessary communications, checking actual delivery against the agreement. Where accounts differ, separate confirmed facts from matters requiring verification rather than forcing blame onto a role. Handle customer names, contacts and transaction details within authorized limits and avoid collecting information unrelated to the analysis.

Connect actions with follow-up observations

Each measure should identify the responsible role, start date, materials and conditions of use. Follow-up should check recurrence, staff adoption and unnecessary extra confirmation steps. Interpret changes in feedback counts alongside service volume and business mix; fewer complaints alone do not demonstrate higher quality.

Document unfinished matters and archive

Retain the status, impacts and follow-up checks for unfinished improvements rather than declaring closure to complete a case. The Association Office will coordinate requests for omissions; submitters should date and substantiate added explanations. Archive effective measures and limitations together. External citation requires permission checks, and later corrections must remain traceable to original records.
