Notice on Compiling Records of Remote Collaboration in 2020

Guidance on submission scope, responsibility checks and version retention for retrospective reviews of remote collaboration in 2020.

Individuals directly involved, or authorized organizational representatives, should use this notice when compiling records of remote work, coordination across locations and online task handovers from 2020. Submissions should address one specific coordination problem and explain the business context, participating roles and dates of the records. Meeting screenshots or tool logs alone should be supplemented with the management task they supported; they do not directly demonstrate effective collaboration.

Compile task and communication evidence

Provide task descriptions, responsibility assignments, key communications and delivery confirmations, identifying each file's source and version. For work spanning several locations, explain how information was received, issues escalated and decisions confirmed in practice. Extract only relevant portions of personal conversations and remove unrelated contacts and private content.

Check implementation and discrepancies

Match each task requirement to the actual delivery, identifying commitments fulfilled and any waiting, rework or unclear responsibilities. Retain inconsistencies between participants' records and identify questions requiring verification. Label later recollections separately from contemporaneous records; do not infer the practices used in 2020 from current procedures.

Supplement and archive records

After receiving materials, the Association Office will request specific missing information on sources, responsibilities or permissions. Submitters should retain originals and date and describe revisions. Confirm archival scope separately from external-use permissions. Unauthorized internal communications will not enter public cases, and acceptance of materials does not constitute Association recognition of their effectiveness.
