Notice on Checking Membership Recommendation Evidence Relating to 2017

Verify the sources, content and permissions of existing recommendation records, separately from eligibility decisions.

Recommenders, nominees and authorised custodians of membership recommendation materials relating to 2017 should check them under this notice. Only existing, available records are covered. Where no contemporary recommendation exists, a new backdated letter is not required. A recommendation’s existence does not establish that membership was granted.

Identify relationships and evidence

Provide retained recommendations, correspondence or indexes, explaining the relationship to the nominee and the basis for knowing their experience. Identify verifiable sources for positions, projects and professional experience mentioned. Where the original is a general introduction rather than an explicit recommendation, preserve that meaning.

Check consent and intended use

Before organising personal information, confirm the nominee’s awareness of this verification and its scope. Recommendations, experience statements and eligibility decisions are distinct records and should not be conflated. Verify exaggeration, mismatched identities or unclear permissions with the original provider. Identify unverified portions and exclude them from definitive conclusions.

Record supplements and outcomes

After confirming receipt arrangements through the current channel, submit the index and necessary evidence. Supplementary explanations must state their actual creation date and corresponding original record without altering original dates. The Office records evidence received, gaps and feedback. Any subsequent membership procedure is determined separately under current conditions.
